PowerTalks Málaga, a thriving Toastmasters club, was struggling with inefficient, paper-based processes for managing their sessions. This created a significant administrative burden for volunteers and resulted in inconsistent feedback for speakers.

Key challenges

Heavy reliance on paper

Every session required printing agendas, feedback forms, and voting slips, which was costly, wasteful, and cumbersome to manage.

Inefficient feedback collection

Manually collecting and distributing written feedback to speakers was slow, and often, valuable insights were lost or delayed.

High administrative overhead

Volunteers spent hours before and after each meeting preparing materials and manually inputting data, taking time away from focusing on the members' experience.

We didn't just build a website - we created an entire commercial ecosystem that transformed creative passion into a thriving, scalable business.

QR code-driven digital experience

We replaced all paper forms with a simple system where members scan a QR code at the start of the session to access the agenda, speaker roles, and a digital feedback form.

Automated feedback delivery system

Using Make.com and Airtable, we built an automation that instantly collects feedback submitted via the form and emails a consolidated, anonymous report to each speaker the moment the session ends.

Centralised session management hub

We created a central database in Airtable and a dashboard in Notion, connected via Make.com. This system automatically archives all session data, feedback, and member attendance.
